What makes access review evidence useful?
Useful evidence lets another reviewer reconstruct what was checked, what information was available, who made the decision and what happened next. A screenshot of a dashboard total is a starting point; it does not establish the review of every underlying account.
Keep collection evidence distinct from approval evidence. An application role is a source fact. A decision to retain that role belongs to your review process.
A practical evidence record
| Record | Include |
|---|---|
| Scope | Application, environment, account population and review period |
| Source | Account identifier, status, role and collection time |
| Activity | Recorded value, source meaning and known gaps |
| Ownership | Accountable owner and business purpose |
| Decision | Reviewer, date, outcome and reason |
| Follow-up | Approved action, reference and verified result |
| Exception | Unresolved question, owner and next review point |
Show why a decision was reasonable
Consider two administrator accounts with old activity. One supports documented emergency recovery; the other belonged to a completed project. The same activity signal may support different decisions. Record the purpose and approval rather than a generic “reviewed” status.
When an account is unmatched, record whether that is explained by a service function, an external collaborator, a changed identifier or a missing identity record. Leave uncertainty explicit when the explanation has not been verified.
Verify changes against fresh evidence
After an approved role reduction or account disablement, confirm the source change and obtain updated evidence. A successful sync before the change cannot confirm the result after it. Record collection failures and unsupported fields separately.
Retain the minimum information needed under your organisation’s policies. Do not include passwords, API secrets or unnecessary personal data in the review record.
Put the evidence to work
KeySkope brings collected account access into focus so reviewers can investigate with context. Pair that evidence with your approval records, exception tracking and retention policy to build a review trail your team can explain.
Read the complete review workflow or the activity interpretation guide before using timestamps to justify an access change.
